Guidelines for requesting access to campus, keys, and access cards for Concordia students, faculty, staff, external personnel and visitors.
Campus buildings access hours
Regular hours of operation
Registered students, faculty, staff and authorized personnel have access to campus buildings from:
- Monday to Friday: 7 a.m. – 11 p.m.
- Saturday and Sunday: 7 a.m. – 9 p.m.
Outside these hours and on certain statutory holidays
- Campus buildings are closed and subject to access restrictions.

After-hours access
Campus buildings after-hours are:
- Monday to Friday: 11 p.m. – 7 a.m.
- Saturday and Sunday: 9 p.m. – 7 a.m.
- Statutory holidays: All day (24 hours)
This also applies to exterior spaces on university property.
After-hours access to campus
After-hours access to buildings on campus is tightly controlled. Whether you're faculty, staff, students or a visitor, here's how to request access to specific campus spaces and the conditions that apply.
Have 24/7 access limited to their regular workspaces and working vicinity for university-related activities. No special authorization is required however, all individuals on campus after hours must carry a valid Concordia ID. Campus Safety and Prevention Services will log you in at your entry point.
Must obtain authorization to access specific locations after hours. Access is granted only for purposes that are approved and access is limited to the approved designated spaces.
Authorization must:
- Come from and be submitted by the associated academic department (for academic-related activities), or
- Come from the Office of Student Life and Engagement (for extracurricular or student group activities)
All individuals on campus after hours must carry a valid Concordia ID. Campus Safety and Prevention Services will log you when entering the building.
Graduate and authorized undergraduate students may request permission in advance to have a visitor accompany them on campus after hours.
To request visitor access afterhours:
- The department head associated with the activity must complete and submit the official After Hours Access Request Form
- All fields are mandatory; incomplete forms will not be processed
- Submit requests at least 5 business days in advance to csps@concordia.ca
Visitors must meet the following requirements:
- Be accompanied at all times by the student who requested access
- Present valid government-issued photo ID
- Be logged in by CSPS upon arrival
The student host is fully responsible for their visitor and may be held accountable for any misconduct or violations.
Access cards
An access card is a secure identification card that allows authorized individuals to enter specific buildings, rooms, or areas on campus that are not open to the general public.
To request an access card
Your department’s Designated Authorizer will submit an access request on your behalf. Only requests submitted by the Designated Authorizer will be accepted by Campus Safety and Prevention Services (CSPS).
- Once approved, you will then receive an email from CSPS with pickup instructions.
- Bring your Concordia ID or a government-issued photo ID to pick up your card.
If you live in residence
Student's living in residence on campus will be provided with their access card at move-in.
If you do NOT live in residence
Step 1: Get your Concordia Campus Card student ID. It serves as both your student ID and your building access card.
- Don't have a Campus Card yet?
- Visit Card Services to obtain one.
- Unsure if your current Concordia ID card is a valid Campus card?
- If it was issued on or after September 2025 then it's a Campus Card.
- If it was issued before September 2025 and you now require access privileges, please exchange it at Card Services for a Campus Card at no cost.
Step 2: Your department’s Designated Authorizer will submit your access request on your behalf. Only requests submitted by the Designated Authorizer will be accepted by Campus Safety and Prevention Services (CSPS).
- Once approved you will receive an email from CSPS with instructions on how to activate your Campus Card for access.

Access keys
Access keys allow authorized individuals within the Concordia community to enter specific buildings, rooms, or areas on campus that are not open to the general public.
Before you apply for an access key
Have your Concordia ID number and the room number(s) for the key(s) you would like to request ready.
To request an access key
First complete and submit the key request form for the campus on which the room is located. You may request up to four different room keys per submission.
You’ll receive an email that confirms your request, which will be sent to the appropriate authorizer for approval. Once approved, the form will be forwarded to Sir George Williams or Loyola Key Control for processing.
Note: Key production may take up to one month.
Finally, you’ll receive an email to let you know when your key is ready and where to pick it up. One of the following photo IDs are required to collect your key(s):
- Concordia ID card
- Valid driver’s licence
- Valid health card
- Passport

Shared access: Sign-out keys
Sign-out keys are ideal for student groups, construction teams, and others who need temporary or shared access to a space.
The benefits include limits to the number of keys distributed; accurate records of who accessed the space, a simpler process for re-issuing a lost key or replacing a broken lock.
User information and guidelines:
- Sign-out keys are limited to key availability.
- Keys must be returned daily.
- Borrowers must leave a valid ID in exchange of the key ring. Keys cannot be lent without proper identification.
- Campus Safety and Prevention Services will not open the space if the key is signed out to another authorized user.
- A designated space administrator must:
- Maintain an up-to-date authorization list using the CSPS key list template.
- Cover any costs for lost keys or lock replacements.
Request a key ring for sign out
To request a new key ring or changes to the sign-out keys on an existing ring,
consult the sign-out key ring request process form.
Door opening requests
Campus Safety and Prevention Services (CSPS) may perform a door opening only under specific, exceptional circumstances as described below.
- The requestor demonstrates a legitimate and exceptional need, such as forgotten keys, access cards, or an unforeseen/emergency situation.
- The opening is a one-time authorized access, supported by written authorization received at least 48 hours in advance from the person responsible for the space.
- Multiple door openings have been pre-approved and arranged with CSPS. (Fees may apply.)
- The requestor cannot present valid identification (Concordia ID or government-issued photo ID).
- There is no written authorization for access by someone without existing permissions.
- The request involves repeated or routine access without prior CSPS approval.
- The request violates university policy or compromises security.
Guidelines and responsibilities
Access requests are subject to certain limits and fees. Please review the guidelines below to understand what is covered, when charges may apply, and departmental responsibilities.
- Each individual is allowed five (5) exceptional door openings per month (e.g., forgotten key/card).
- A $20 fee per door may apply for:
- Additional requests beyond the monthly allowance
- Urgent, unplanned access to multiple doors
- Fees are calculated monthly. Anyone exceeding their five-opening limit will be charged accordingly.
- For planned access to multiple doors, a dedicated CSPS agent may be required. (See Special Agent Services for related fees.)
- Requests for multiple door openings must be submitted at least five (5) business days in advance by email to csps@concordia.ca.
Per Concordia’s Policy on Campus Public Safety and Security (VPSS-20), departments are responsible for managing their own opening and closing schedules.
Campus Safety and Prevention Services does not support repeated or regularly scheduled door openings.

For lost or stolen keys, access cards or Campus Cards
If your key(s), access card, or Campus Card is lost or stolen, report it immediately to prevent unauthorized use according to Concordia’s Policy on campus public safety and security (VPSS-20).
Access privileges on lost access cards and Campus Cards can be temporarily suspended and reactivated at no cost if the card is later found.
