About Abundant Intelligences

Abundant Intelligences is an ambitious, large-scale six-year research program exploring how to integrate Indigenous Knowledges and Artificial Intelligence systems. It is conducted by an international research team, co- directed by Prof. Lewis at the Indigenous Futures Research Centre at Concordia University, Montreal, and Prof. Hemi Whaanga at Massey University in New Zealand. The research team currently consists of 48 co-investigators and collaborators at 13 universities/research institutes and 8 community-based organizations in Canada, the United States, and New Zealand.

Job description

The candidate will work directly with and report to the Senior Program Manager (SPM), while also supporting the Research & Partnership Manager (RPM), the Associate Program Manager (APM), as well as the PI when necessary. This position ensures the SPM, RPM, and APM deliverables are on time, manages information flow in a timely manner, manages their calendars, sets up meetings, makes travel arrangements, and coordinates with the Finance Manager to track expenses. The candidate will collaborate with the Coordinator South and the Executive Assistant to the Nominated Principal Investigator to ensure coordination amongst the support staff, taking minutes during meetings, and will be responsible for screening and distributing correspondences.

Primary responsibilities

Research studio coordination

  • Point of contact between SPM and other research support staff, university administration, and partners;
  • Corresponding with research team, university admin, and external partners, including memos, letters, emails, presentations, reports;
  • Ensures SPM, RPM, and APM deliverables are on time;
  • Manages information flow in a timely and accurate manner;
  • Manages SPM, RPM, and APM calendars and sets up internal and external meetings;
  • Schedules, attends and takes minutes during team, governance and partner meetings;
  • Collaborates with Coordinator South and the Executive Assistant to the Nominated Principal Investigator;
  • Maintains up-to-date lab calendars and emailing lists.

General studio administration and logistical support

  • Tracks expenses and coordinates with Finance Manager to submit expense reports;
  • Maintains neatness of research studio and administers the daily operations of the lab;
  • Maintains inventory and orders lab supplies and equipment;
  • Identifies and communicates with external providers, requests quotes and tracks payments;
  • Screens and directs phone calls and distributes correspondence;
  • Organizes lab events and provides logistical support towards the organization of research program events, including booking rooms and a/v & computer equipment;
  • Compiles, organizes and archives media and documentation of the research program events and partner activities;
  • Makes travel arrangements;
  • Performs other duties in support of the SPM, RPM, APM, and the unit.

Qualifications/skills required

  • Diploma of Collegial Studies (3-year technical DEC) in Office Technology or in other field pertinent to the primary responsibilities and five or more years of relevant experience.
  • Good knowledge (Level 4) of spoken and written English to write and edit correspondence, provide and interpret detailed information, and deal with complex situations in both languages.
  • Proven record of minute taking.
  • Good knowledge (intermediate level) of Word (format documents, do mail merges), of Excel (create spreadsheets and charts) and Google Suite equivalents (Docs and Sheets); basic knowledge of PowerPoint (to create presentations), Adobe Acrobat and Outlook.
  • Comfortable using virtual meeting platforms (Zoom, Slack, Teams).
  • Superior organizational skills and the ability to multitask; ability to work independently and in a team; client-service orientation.
  • Excellent judgment in assessing scheduling priorities.
  • Experience coordinating high profile and large events with multiple stakeholders. Availability to work overtime when required.
  • Comfort working with a wide range of stake-holders, including faculty, staff, students, external Partners, and Indigenous community organizations.
  • Experience working with Indigenous communities and organizations is an asset.
  • Facility with French or an Indigenous language an asset.
