Office 365

Office 365 provides online versions of Microsoft Office applications such as Word, Excel, PowerPoint and OneNote. It also offers cloud storage and services like Onedrive, Sharepoint and MS Teams.

In order to provide online services, Microsoft requires the full name and email address of Concordia community members. It also requires knowledge of whether an individual is a current student, faculty or staff member.

When someone uses Office 365, Microsoft collects usage, device and location data in order to improve the user experience, help debug technical issues and provide security services.

To protect users and respect local privacy laws, Concordia University undertook a Privacy Impact Assessment (PIA) to review:

  • the level of control that users have over what data is collected
  • the types of data collected, what they are used for, and with whom they are shared
  • in what jurisdiction data resides, as well as how it is transmitted and stored
  • how long data is retained and how it is destroyed

For more information on Office 365 — including guidelines, FAQ, and best practices — see the IT Service Catalogue. There is information specifically for staff and faculty, as well as a page tailored to the needs of students.
