Responsibilities:
- screens, processes and directs incoming mail, e-mail, phone and in-person inquiries for the main office
- answers general departmental inquiries such as student advising, Math Help Centre hours, faculty office hours
- prepares curriculum submissions and undergraduate/graduate program calendar updates
- prepares course outlines and solution manuals for all courses
- receipt and distribution of teaching evaluations
- maintains departmental databases (courses, photocopier charges, etc)
- coordinates office hours for all instructors, and class cancellations
- prepares correspondence, course and research materials, examinations, grant applications, etc. for full- and part-time faculty, as well as for researchers/visiting professors
- acts as a liaison for departmental research centres/activities (prepares expense reports and technical reports, and organizes conferences and seminars)
- room bookings for the u/g lab (LB 915-4)
- work orders or calls work centre for any issues regarding departmental space (lights, temperature, cleanliness, etc.)
- assists with key control

- distributes calculator stickers
- orders and distributes office supplies; prepares course folders for marking

Responsibilities:
- answers all undergraduate program/student inquiries
- informs students on procedures for academic re-evaluations and changing grades, deferring final exams and resolving exam conflicts
- prepares student advising schedules and maintains the inforrmation on the web page
- updates information for all undergraduate program pages on the departmental website
- prepares statistical information on undergraduate students and program alumni
- preparation of midterms and final exams; liases with the Exams Office regarding the final exam schedule
- maintains course overfills for pre-university courses
- maintains student grades and exams; arranges for students to view final exams; processes academic re-evaluation requests
- coordinates textbook submissions and orders, maintains book inventory
- organizes student orientation sessions

- assists the Graduate Program Directors in the preparation of acceptance/refusal letters of admission
- prepares statistical information on graduate program students and program alumni
- prepares teaching assistant contracts and monitors TA budget
- ensures graduate program information on course schedules is correct
- updates information for all graduate program pages on the departmental website
- organizes graduate program committees and events (thesis defences, comprehensive examinations, student presentations and orientation sessions); transcribes and/or records minutes of meetings
- prepares correspondence, course and research materials, examinations, grant applications, etc. for full- and part-time faculty, as well as for researchers/visiting professors
- bookings for the Math Help Centre room (LB 912) and the graduate seminar room (GM 300-24)

Responsibilities:
- answers all inquiries related to the Chair's Office
- maintains the Chair's agenda
- ensures administrative deadlines and procedures are met according to the critical path
- composes routine correspondence for the Chair and Department Administrator
- organizes faculty recruitment activities
- compiles and maintains departmental and faculty databases on courses, fax and telephone charges; prepares statistical reports
- organizes departmental meetings and gatherings, conferences and seminars; transcribes minutes of meetings
- assists in the maintainance of the departmental web site
- inputs and formats research material, grant applications and examinations
- maintains the departmental filing system and key control; gives out keys for exam cabinets
- room bookings for the conference room (LB 921-4) and for common marking
- posts general information and notices of seminars and conferences; keeps bulletin boards up to date

Responsibilities:
- Manages/coordinates the daily operation of the department; planning, monitoring and initiating improvements for operational policies and practices.
- Manages the department’s operating budget, as well as development, trust and endowment funds; approves operational budget expenditures; research, compile and analyze information for use in negotiating departmental resources.
- Advises and assists faculty, staff and students regarding university/faculty/departmental policies and procedures.
- Administers full-time faculty, part-time faculty, support staff and teaching assistant collective agreements; activates critical paths and ensures that deadlines are met.
- Initiates, establishes and implements policies and procedures regarding non-academic staff, including supervising, hiring, disciplinary actions, coordinating workloads, vacations and absences.
- Assigns, manages and maintains full-time faculty workloads; coordinates teaching/research remissions and maintains records.
- Organizes and coordinates the postings and hiring of all part-time faculty and serves as the resource person on the Part-Time Hiring Committee.
- Organizes departmental faculty meetings and transcribes records of minutes; organizes other departmental meetings, conferences, and special events; disseminates administrative and academic material on behalf of the Chair.
- Develops annual department course schedules in conjunction with the Associate Chair and the Chair; advises the Chair on course offerings required for academic programs; enters course data on the university course schedule system and departmental database.
- Monitors enrolment and admission quotas, and provides recommendations for course additions/cancellations.
- Manages physical facilities, including recommendations on equipment purchases and replacements; administers space and office assignments; coordinates access privileges and key control.
- Maintains departmental website and departmental filing system/records.
