Researchers and Research Administrators 2014 - 2015 Benefit Rates

In a communiqué issued by Marc Gauthier, University Treasurer, on July 24th, 2013, you were informed that a customized rate for non-student research personnel would be determined and charged beginning with the University’s 2014-2015 fiscal year.

2014 - 2015 Benefit Rates

The customized rate for non-student research personnel effective May 1st, 2014 is set at 21.4%, while the benefit rate for University Faculty & Staff is set at 26.9%.

The rate only includes the benefits that apply to the research community and that the funding agencies allow to be charged against research funds.

The benefit rate applicable to student employees is set at 10.1% effective May 1, 2014, up from 9.7% in 2013-2014.

Important Information and Procedure

Within the financial system of the University, the benefit rate applied is driven by the salary account code used.

Salary account codes for non-student research personnel

The only salary account codes that will generate a benefit charge of 21.4% are those listed below beginning by 666, reserved for non-student research personnel. Please also refer to the guidelines of your funding agency prior to selecting an account code, as restrictions may apply as to the type of account that can be used.

Salary account codes for student research personnel

The following salary account codes, beginning by 662, are reserved for student research personnel and will generate a benefit charge of 10.1%:

*** Note that if salary codes other than those listed above are used, the main University benefit rate of 26.9% will be applied ***

Furthermore, we noticed that several other salary account codes are currently being used within research funds. All salaries currently in payment will need to be transferred to the accounts listed above as at May 1st, 2014 in order for the appropriate benefit rate to be applied. Payroll Services and Financial Services will work in collaboration to make the appropriate transfers.

From now on, please ensure that any new notice of hire you prepare and submit includes one of the eligible accounts listed above. This will enable the appropriate benefit charge to be applied to your fund.

Budgeting of Long-Term Research Projects


The benefit rates will be readjusted at the beginning of each University fiscal year. In order to facilitate the budgeting of long-term research projects, an annual rolling six-year projection is prepared and made available to the research community through the OVPRGS. The estimated figures for years 2015-2016 to 2021-2022 are appended to this memo. Please note that the rates shown are projections only; benefit costs can vary significantly due to various reasons, such as financial markets (which directly impact the funding of the pension plan) and potential changes to legislative requirements or to the design of programs.
