Generative Artificial Intelligence (GenAI) tools at Concordia

Concordia University is committed to the responsible, ethical and secure use of Generative Artificial Intelligence (GenAI) technologies.

In alignment with this commitment, the Instructional and Information Technology Services (IITS) team ensures that all GenAI tools deployed within the institution meet rigorous standards for security, privacy, accessibility, and compliance with applicable laws and regulations.

Overview

This resource provides an overview of the GenAI tools currently approved for use at Concordia. Members of the Concordia community are expected to adhere to these guidelines and to engage with GenAI tools in a manner that supports the university’s mission while complying with all institutional policies.

Microsoft Copilot Chat (Basic)

Approved 

The basic chat version of Microsoft Copilot provided as part of Microsoft 365 can be used for productivity and experimentation. 

Always log in with your Concordia account to provide personal and Concordia data protection. When logged in with your Concordia account, you may use data classified up to Class 4 (restricted).

However, extreme caution must be exercised when handling sensitive personal information, such as Social Insurance Numbers (SINs), banking details, biometric identifiers, and health data. Such information must only be used in accordance with the purposes for which it was collected and in compliance with the Policy Regarding the Protection of Personal Information and Access to Information (SG-9)

Do not use personal a personal Copilot accounts to process non-public University data or personal information related to students, staff, or other constituents.

Ollama

Approved 

Open models support open research. The Ollama tool lets users run open models securely from a personal computer.

Using Large Language Models (LLMs) for research development, such as contained demos and experiments on local hardware, and evaluating and benchmarking models, is allowed unless integrated with virtual assistants.

ChatGPT, Google Gemini , Claude, Perplexity and other virtual assistants (agents) leveraging generative AI

The University does not provide licences for these GenAI tools and agents, but individual use is permitted as long as it respects university policies and guidelines.

Microsoft 365 Copilot (Premium) (different than Microsoft Copilot Chat).

Under review

 The University does not yet provide licences for this premium version of Microsoft 365 Copilot which is deeply integrated into Microsoft 365 software, but is investigating a secure and equitable access strategy.  

This license includes access to Copilot for Teams, Word, Outlook, PowerPoint, Excel, and other Microsoft 365 apps. 

DeepSeek

Prohibited 

Cannot be used on University networks, computing devices, or in conjunction with University data.
