Potential postal service interruption: what to do

Since a service interruption at Canada Post would affect delivery times, please avoid mailing your documents by regular post.

Applicants and newly admitted students


American students 

  • American students applying for any type of funding should contact the Financial Aid and Awards Office directly regarding program specific application requirements and/or CAQ letters.

  • Students who are concerned about this issue can send an e-mail to: help@faao.concordia.ca, or call: 514-848-2424, ext. 3507.

 

International students

  • If you need to send documents relating to immigration applications and renewal, please avoid using regular post. Use a courier service instead.

  • For health insurance claims, international students can get reimbursements in person at the QuickPay Office: 550 Sherbrooke Street West, Suite 12, Montreal (Monday to Friday, 8:30 a.m. to 5 p.m.) or toll free: 1-888-588-1212.

 

Students requesting official transcripts from Concordia 

You have a few options to consider:

  • You may request to pick-up your official transcript from the Birks Student Service Centre (LB-185) and deliver it yourself, if the receiving university has agreed to this process. Note: Official transcripts destined to other universities in Quebec are automatically sent electronically to the receiving institution and therefore will not be affected by a Canada Post service interruption.

  • If you request that your transcript be sent by regular mail to another Canadian institution and we experience a postal service disruption, on an exceptional basis Concordia will send transcripts directly to other Canadian institutions via email. Canadian institutions have agreed to this process in the event of a postal service disruption.

  • You may request that the transcript be sent via courier (additional costs apply and will depend on the destination). It may also be possible to have official transcripts via email to other institutions outside of Canada on an exceptional basis, in the event of a postal service interruption.  However, you would have to confirm with the receiving institutions that they would accept transcripts sent in this manner as official prior to submitting your transcript request.  You would have to clearly indicate the institution’s email address on the request form.

 

Concordia Libraries: Interlibrary Loans service

Requests for interlibrary loans will be affected by a Canada Post work stoppage. Many institutions are currently not mailing items and items that have already been mailed may be delayed. Should you need to obtain an item that Concordia Libraries does not own we recommend checking local university library holdings (you can also use Colombo to locate materials) and using a BCI card to borrow the items directly from the owning institution. The BCI card can be obtained at the Circulation Desks of Webster and Vanier Library.

Faculty and staff

If you currently receive your paycheque in the mail, you have two options:

  • Sign up for direct deposit and receive automatic payments to your bank account. Visit Cspace to access and complete the direct deposit form.

  • Beginning Friday, July 22, you can collect your paycheque in person on Fridays from the Department of Human Resources, Room FB-1130, Faubourg Tower (1250 Guy St.). You must bring picture I.D.


Please contact the Human Resources payroll team at payroll@concordia.ca or at 514-848-2424, ext. 3666. Please note that if you already receive your paycheque through direct deposit, any Canada Post service interruption will not affect you.

Health and Dental Benefits
For faculty, staff and pensioners who submit health and dental claims by mail and/or receive cheques via mail, Desjardins Insurance is taking steps so that people can carry out common transactions in the event of a postal service interruption. Find out more.

Mail Service
During a Canada Post service interruption, Concordia will use couriers services to send important mail and parcels in Canada. International and US mail will be sent through an alternate supplier. 


Pensioners 

If you receive your monthly pension payment by cheque, to avoid delays in receiving your payment, in the event of a postal service interruption, please contact CIBC Mellon to request a direct deposit. Read more
