Scope

Reporting to the Supervisor, Undergraduate and Graduate Service Teams, the incumbent performs the assessment and follow-up of graduation applications and maintains undergraduate student records.

Primary responsibilities

  • Evaluate graduation applications and determine whether the applicant has satisfied all requirements to obtain a certificate or degree including the identifying of potential candidates for graduation prizes; update the advisement report on the Student Information System (SIS) as required.
  • Review and update the student record using the SIS and correct errors that are identified.
  • Ensure that all supporting documents required for an undergraduate student’s file are obtained from the appropriate sources and are collated in a readily retrievable and approved standard format in a timely manner.
  • Respond to requests from undergraduate students, faculty and staff; refer students to appropriate sources as required.
  • Confer with academic departments with regards to undergraduate student record and graduation related matters.
  • Compute the Final Graduation Grade Point Average and the Assessment Grade Point Average for students, faculty and staff.
  • Build Undergraduate Independent, Visiting and Exchange student programs; process Interuniversity (INTU) courses, late registration, DNEs, DISCs and program withdrawals, etc.
  • Process documents related to graduation and/or letter requests in accordance with established guidelines; including coding on SIS, barcoding the documents and preparing them for scanning.
  • Perform other duties in support of the operation of the unit.

Requirements

  • Diploma of Collegial Studies (two year pre-university DEC) and two to four years of related work experience.
  • Good knowledge (Level 4) of spoken and written English in order to communicate effectively with students, staff and faculty; basic knowledge (Level 3) of spoken French to respond to general inquiries.
  • Basic knowledge of Word (to create documents) and Excel (to filter and sort data).
  • Excellent interpersonal and communication skills with the ability to deal firmly but politely with students and other concerned parties.
  • Ability to multitask and work under pressure with frequent interruptions.
  • Keen attention to details.
  • Sensitivity to students’ concerns.
  • Aptitude to work in a service-oriented environment as both a member of a team and independently.

Salary

*Please note this is a Pay Equity designated position PE247-14A and that the associated salary range is $25.27 to $30.00 per hour
