Call for nominations for employee committees

Concordia permanent full-time or part-time administrative and support staff invited to nominate people to employee benefits and pension committees

In accordance with the terms of the pension plan for Concordia University employees, I am writing to convene the Electoral College for the purpose of nominating a permanent full-time or permanent part-time administrative and support staff member to join the Concordia Pension Committee.

In addition the Electoral College is also being convened for the purpose of nominating a permanent full-time or permanent part-time administrative and support staff member to join the Concordia Employee Benefits Committee.

By virtue of the relevant regulations, one individual fills both positions. The term is from January 1, 2012, to December 31, 2014.

The deadline for nominations is Wednesday, November 2, 2011.

Membership of the Electoral College includes a representative from the associations and a union recognized by the university and is convened to nominate permanent full-time or permanent part-time members of the administrative and support staff on the Board of Governors and any university-wide committee in conformity with the Electoral College Policy (Policy A-50). The Concordia Employee Benefits Committee is a committee of the Board of Governors and makes recommendations to the board on matters of pension plan design and group insurance benefits. The Concordia Pension Committee is responsible for all matters relating to the administration of the pension plan for Concordia employees.

The Concordia Employee Benefits Committee and Concordia Pension Committee are composed of: The President, or designate; the Vice-President, Institutional Relations and Secretary-General, or designate; three (3) members of the Board of Governors; two (2) members who are members of the pension plan, representing and designated by the Concordia University Faculty Association; two (2) members of the plan representing the active administrative and support staff, designated by the Electoral College; one (1) member, or alternate, who is a member of the plan representing the non-active plan members elected by the non-active members; the Chair of the Board of Governors, or designate (for the Concordia Pension Committee only); one (1) independent member as required under the Quebec Supplemental Pension Plans Act (for the Concordia Pension Committee only); the Executive Director, Finance and Business Operations, who acts as Secretary, for the Concordia Pension Committee and the Concordia Employee Benefits Committee, without voting privileges.

Procedure
Any permanent full-time or permanent part-time member of the administrative and support staff member may nominate a permanent full-time or permanent part-time administrative and support staff member or endorse a nomination.

The nomination form must be signed and agreed to by the candidate and bear the signature of the nominator as well as the endorsement of ten (10) additional permanent full-time or permanent part-time members of the administrative and support staff from a relevant unit.

Candidates must submit a pen sketch, which should include information on why they are interested in serving on the Benefits Committee and Pension Committee.

Submissions
Please submit nominations and pen sketch to: Carolina Willsher, associate vice-president, human resources, Room FB-1130, Faubourg Building, or fax to 514-848-2844.

The deadline for submissions is Wednesday, November 2, 2011.

Please note the Electoral College will be convened on Tuesday, November 8 from 9 a.m. to 5 p.m. in Room MB-14.250, John Molson School of Business Building (1450 Guy St.).

The Electoral College will be provided with the submitted pen sketches prior to the meeting. If the Electoral College requires more information from the candidates to make a decision, interviews will be arranged for Tuesday, November 8, 2011.

Once the Electoral College has nominated the representative, the name of the candidate will be submitted to the Secretary of the Board of Governors. Membership of the committee will be presented for approval at the December 2011 meeting of the Board of Governors. Following this, the names of the administrative and support staff representatives will be communicated to the community.
