CHEMICAL AND MATERIALS ENGINEERING
DEPARTMENT ADMINISTRATOR (P1993)

Reporting to the Chair of the Department of Chemical and Materials Engineering, the incumbent manages the Department on a day-to-day basis, and assists in the development of organizational objectives. He/she coordinates the work of committees and projects, monitors and processes all budgetary matters, coordinates space and facilities, monitors critical paths and supervises nonacademic personnel.
- Manage and coordinate the daily operation of the Department which includes planning, working with and informing the Chair of relevant issues and actions undertaken.
- Assign work to, supervise and evaluate permanent staff.
- Monitor the critical path as it relates to CUFA and CUPFA Collective Agreements to ensure deadlines are met.
- Keep up to date on funding regulations for graduate students and research staff, and assist faculty, researchers and students in the processing of notices of hire and bursaries in accordance to University and Faculty procedures.
- Continuous review of departmental policies and procedures regarding non-academic staff, with a view to drafting and implementing procedures that improve departmental operations.
- Monitor, review and process all matters related to budgets for the Department in compliance to University and Faculty policies and procedures (e.g. expense reports, bursaries, notices of hire and change, web requisitions, etc.).
- Prepare reports and correspondence on behalf of the Chair.
- Undertake research, and format and edit reports for committees governed by Collective Agreements.
- Analyze and approve departmental expenses, reconcile monthly and annual operations budget.
- Manage research space assignment to students and faculty.
- Manage access privileges for students, faculty, staff and visitors.
- Manage physical facilities; coordinate equipment purchasing.
- Organize and supervise major projects (e.g. departmental web-site, accreditation, self-appraisal, space renovations and special events).
- Bachelor’s degree and four to seven years of related experience, including at least two years in a supervisory role.
- Knowledge of Millennium (including Web-Requisitions), Faculty Resource Information System (FRIS), Student Information System (SIS) are assets.
- Familiarity with the Collective Agreements, as well as University policies and procedures
- Good knowledge (Level 4) of spoken and written English in order to communicate effectively with faculty, staff and students, to initiate departmental policies, procedures and protocols, to write reports, draft correspondence and documentation; basic knowledge (Level 3) of spoken French in order to communicate with students, faculty and staff.
- Basic knowledge (Level 3) of written French is an asset.
- Good knowledge (Intermediate Level) of Word (to create and format documents) and Excel (to work with spreadsheets, update files and data).
- Demonstrated communication and interpersonal skills, with the ability to work independently as well as on a team.
- Exceptional organizational skills, with ability to set and meet deadlines, ensure others meet critical deadlines and the ability to multitask.
