Job requisition process
To initiate a recruitment process, you must complete the Job Requisition Form following the instructions below. Instructions to initiate the process for a new position are given under Additional instructions further below.
Instructions to complete the Job Requisition Form
- Complete all necessary information (click on each underlined field and type in the information).
- Print the form
- Please prepare the appropriate Justification form
- Once the requisition and the justification forms are signed, please attach the job profile and all pertinent information (organizational charts, reason for replacement, etc)
- Approval and signature process: these two documents must be sent together to the Dean, Provost and/or Vice-President for approval. The documents will then be forwarded to HR (Employment & Organizational Effectiveness Unit).
Submit your request as early as possible, taking into consideration the time required to:
- Approve your documents
- Prepare the posting (joint preparation: department and Human Resources)
- Translate the posting
- Advertise and post the vacancy
- Interview the candidates
- Test short-listed candidates
- Prepare final selection
- Finalize the offer of employment.

Additional instructions:
- For a new position or the re-evaluation of a position, you must obtain a Position Number and Grade by contacting the Compensation Unit, in Human Resources. Once you have all necessary information, follow the instructions above to complete the Job Requisition Form.
- For a part-time position, provide the number of working days and hours per week.
- For shift schedules, indicate whether the person will be required to work during the day, the evening, or the night shift, and specify the working hours.
