Student requests & forms

All Student requests must be submitted via Office 365 forms.

Student requests are submitted when students wish to deal with exceptions to academic regulations or related matters. For information concerning your program of study or if you are a newly admitted student, please contact your program advisor listed in your Student Service Centre. 

Students outside the Gina Cody School of Engineering and Computer Science should contact their faculty of study: Faculty of Arts and ScienceFaculty of Fine Arts, or John Molson School of Business.

**Please note that some Student Requests will require that students login to Concordia Office 365. Instructions can be found on Office 365 Education - students.

This may include:

  • Permission to enroll in a Gina Cody School course as a non-Gina Cody School student 
  • Permission to enroll in a Graduate-level course for undergraduate students
  • Registration issues that cannot be solved at the Department level
  • The system is not recognizing a prerequisite for a course
  • Request course permissions in extenuating circumstances

A student must submit a request for permission to take the course for a third time or more.

  • A grade must be posted on the Student Record for both previous attempts. 
  • Please note that a DISC course does not count as an attempt.

A student may request a credit overload if they wish to take a course above their credit limit or go beyond any restriction for credit that they have.

Refer to section 71.10.4: Registration Regulations, #2 and #3 for more information about credit loads.

Full-time status is related the number of credits a student is registered for in any given term. International students should consult the International Student Office if they have questions on what constitutes full-time status.

A course substitution may include:

  • Permission to take a course that is not part of the student’s current program.
  • To replace a course previously taken at Concordia required in their current program with an equivalent course.

For current Concordia students:

  • Transferred to the Gina Cody School of Engineering and Computer Science from another Faculty at Concordia
  • Admitted to a Gina Cody School degree program from a Certificate
  • Transferred from Computer Science to an Engineering program or vice versa

Newly admitted students may be entitled to transfer credits or exemptions at Concordia University.

Students may apply to write a supplemental examination by submitting a Student Request form if they meet the conditions listed in section 71.10.3 Supplemental Examinations, in the Undergraduate Calendar.

Current students

External Credit: Within Quebec

Students who wish to take courses at other recognized institutions in Quebec and want those credits transferred to Concordia University must receive prior permission by using the Interuniversity Agreement (INTU) form from the Bureau de cooperation interuniversitaire (BCI).

Credits and grades received are transferred to the student's Concordia record once an official transcript is received from the host institution. This application is only available online.

External Credit: Outside Quebec

Before you take the course:
Students who wish to take courses outside the Province of Quebec and have those credits transferred to their program must receive prior permission. 

Submit relevant all information on the course(s) and the University the student wishes to attend i.e. accreditation information; credit value; course description.

Requests and supporting documents may be submitted by email to Sakib Shahid, Advisor SAS.

If the request is approved, the student will receive a permission letter from Student Academic Services.

After you take the course:
Students must receive a minimum grade of C- in order to transfer back the credits to your program at Concordia.

Students’ grades for the courses taken outside Concordia will not be considered in the calculation of their GPA.

Credit evaluation: Upon successful completion of a course outside Concordia, if the course doesn’t have the same number of credits as its equivalent course at Concordia University, the credit value of the Concordia course will be transferred back to your program. 

All requests must be made prior to registration at the host institution.

Note: The Gina Cody School does not guarantee that credits taken elsewhere will be transferred and counted toward their degree if the student did not receive prior permission.

In order to be eligible to take a course at another institution, students must be in good academic standing at Concordia University.

Please contact your department program assistant to complete the Option Change form.

  • Aerospace Engineering please submit your request using the Change of Concentration form for Engineering students.
  • New No Option program for Software Engineering please contact your department.

Please read the conditions below for your specific situation:

Computer Science students: Add a Minor from another Faculty

  • Contact and apply directly with the offering department. (No Student Request is required.)

Engineering students: Add a Minor from another Faculty

  • Students must have completed a minimum of 20 credits in their Engineering program.
  • Students must maintain a CGPA of 2.70 in their program courses.
  • If approved, it is the responsibility of the student to add the Minor at the respective Faculty.

All students: Add a Computer Science Minor

(Students in Computer, Electrical and Software Engineering are not eligible to take the Minor in Computer Science.)

  • Approval for adding a Minor in Computer Science is based on academic performance. (i.e. an annual/cumulative GPA and grades in relevant subjects.)
  • Students from out of faculty requesting a Minor in Computer Science must have completed MATH 203, 204 and 205 or the equivalent(s) with minimum grade of C-.

All GCS students: Drop a Minor

The below Concentration Change is only available to students currently enrolled in the Bachelor of Engineering wishing to change programs within Engineering. If you are a Concordia student currently enrolled in another Bachelor’s degree and wish to apply for a transfer into a Bachelor of Engineering degree you must apply as an undergraduate degree transfer.

Please read the conditions below before submitting your request: 

  • Newly admitted and current students must have completed (with a grade) a minimum of 12 to 24 credits at Concordia before applying.
  • Students must not have any pending conditions resulting from a Conditional or Failed Standing.
  • The deadline to apply for a Change of Concentration is August 1 for a fall term and December 1 for winter term.
  • Approval of the Change of Concentration is based on academic performance. (i.e. an annual/cumulative GPA and grades in relevant subjects.)

The below Concentration Changes are only available to students currently enrolled in the Bachelor of Computer Science wishing to change programs within Computer Science. If you are a Concordia student currently enrolled in another Bachelor’s degree and wish to apply for a transfer into a Bachelor of Computer Science or Engineering degree you must apply as an undergraduate degree transfer.

Please read the conditions below before submitting your request: 

Computer Science (BCompSc)

  • Students who want to switch their current Computer Science program (any option), may switch to the new BCompSc program with this application.

Bachelor of Computer Science - Joint Major in Computation Arts

  • Transfer term: Fall Term only.
  • Transferring to the Joint Major in Computation Arts, requires students to submit a portfolio to the department of Computation Arts. Student Academic Services will process the transfer only after receiving the approval from the Faculty of Fine Arts.
  • Prerequisites (must have completed prior to applying):
    • MATH 203, 204 and 205

Bachelor of Computer Science - Data Science

  • Transfer Term: Fall and Winter Term only.
  • Prerequisites (must have completed prior to applying):
    • MATH 203, 204 and 205

Bachelor of Computer Science - Health and Life Sciences

  • Admission to this program is available as of Fall 2021.
  • Prerequisites (must have completed prior to applying):
    • MATH 203, 204 and 205
    • PHYS 204, 206
    • CHEM 205, 206
    • BIOL 201
