The primary purpose of ENCS teaching equipment is to support courses offered in ENCS. Students taking supported courses may use their accounts to work on projects or assignments required for those courses.
Students who are enrolled in courses offered by ENCS, not enrolled in an ENCS program, will be given access only to the appropriate teaching labs and for that term only. Other people should contact IITS (Instructional & Information Technology Services) for access to computer facilities.
- The password of the ENCS computer account is not to be shared. Don't give out your password.
- The computer account should be used for:
- Fulfilling his/her academic requirements
- Teaching and research activities for the sole benefit of Concordia University.
- Any unauthorized use of the computer account may result in its suspension.
- ENCS may acquire any or all programs or data developed or stored in the computer account and may use it as it sees fit.
- ENCS may destroy, at the end of the term, any or all data in the account.
- The user agrees to comply with the rules of operation of the ENCS.
- The user understands that the use of the computer account is subject to the Copyright Act.
- The user understands that fraud, embezzlement, theft, deliberate physical damage to hardware or software, including modification of information stored in a computer could give rise to the sanctions under the disciplinary regulations of the University, or under the appropriate provincial or federal laws.
Don't eat or drink in any of the labs. If you are discovered eating/drinking your account will be blocked for a minimum of one week.
Full time employees have unlimited printing. A page count will be kept for each individual user. This is to ensure that Faculty and staff do not run out of quota at any time.
For Part-Time Instructors
Part-time instructors can ask for 500 pages of ENCS Printing Quota per course per semester.
For Students taking a Course
No printing quota is issued to students for courses, neither at the undergraduate, nor graduate level.
For Students doing Research, Visiting Researchers and Post-Doctoral Fellows
It is no longer possible to transfer quota from a Faculty member to a student/Visiting Researcher/Post-Doctoral Fellow.
Only Faculty and Staff can print to AITS-managed color printers. Students needing a color printout must give the document to their professor to print or use the Concordia DPrint Service.
IT equipment should be replaced after 4 to 5 years or when more advanced technology renders existing equipment obsolete. AITS should be contacted to provide advice at the time and provide technical recommendations for a research fund request.
At purchasing time, any major IT equipment should be bought with a warranty of 3-5 years (having such a contract will ensure the access to genuine parts during the expected life).
AITS should be contacted to provide advice and technical recommendations for all research fund requests for large systems such as server or cluster.
Repair of IT equipment purchased with research funds, that is out of warranty coverage and requiring a repair must be paid using research funds. Repairs include all parts, the time of an external technician as well as any delivery fees. A repair cannot be authorized unless the appropriate fund number is provided.
All the IT equipment bought with ENCS Faculty Budget or with research funds is the property of Concordia. The IT inventory procedure is to be followed when any piece of equipment is acquired.
IT equipment inventory guidelines
- IT equipment that is bought, installed and maintained by AITS must be inventoried.
- IT equipment that is installed on the network (bought or not through AITS) must be inventoried.
Any other type of IT equipment does not need to be inventoried by AITS (i.e.: a USB key, a USB printer or peripheral) unless department or university rules require it.
If the equipment is not received at AITS offices, a scanned copy of Purchase Order (a full detailed copy of e receipt for an external purchase) needs to be sent with a request. An inventory TAG with a paper copy of the PO with the pertaining instructions will be send to the requester.
To use your own computer as part of your research or course work you will be given the "root" username and password for the system. A user-managed systems are maintained by the owner of the computer. Any additional software installations or configurations must be done by the owner of the computer.
- Usually new computers are delivered as is, with the OS originally purchased. If the computer needs to be rebuilt, the latest AITS User Managed Windows images is installed.
- The owner is responsible for creating new local accounts as needed.
- The owner of the desktop is responsible for updating the anti-virus software.
- The owner of the desktop is responsible for patching the operating system.
- The owner is responsible to ensure only legally obtained software is installed

Computer laboratories are quiet working rooms.
- Take conversations outside the room
- Do not answer phone calls in the laboratory
- Use headphone any audio-visual applications
- Project rooms can be booked for group discussion and project design
