Information for faculty, staff and volunteers

From May 28 through June 4, Concordia University is hosting the Congress 2010 of the Humanities & Social Sciences. Congress will be held on the Sir George Williams Campus, principally in the LB, EV, Hall and MB buildings.

Who is attending?

The Canadian Federation for the Humanities and Social Sciences includes a total of 75 associations. Each of them has their own conference program and delegates will stay on campus three to four days. Peak days are May 31 and June 1, with more than 5 500 people on campus.

 

What's happening to our regular students?

  • Starting May 25, through June 4, most day classes are moved to Loyola. Evening classes will remain downtown but most of the evening classes will have start times moved back to 7:30 p.m. from May 31 to June 4.
  • We will have extra shuttle buses to Loyola and the service will be offered from 7:45 a.m. to 10 p.m.
  • Students can find information about the relocation of classes on their MyConcordia student portal and on the digital information screens around campus.
  • Students can also find information about their class relocations at the information booth in the Hall Building and at all the Congress information kiosks.

Who is in charge of the planning and logistics of Congress at Concordia?

  • The planning team includes people from the Congress office, Facilities Management, IITS, Security, Hospitality, University Communications Services, Office of the Registrar, Hospitality Concordia and Chartwells. This group has been meeting over the last two years and will meet every day during congress. They will ensure coordination with the Federation and the Congress staff and volunteers via walkie talkies. Floor staff will be identified with special Congress lanyards with their name and they can answer any questions regarding Congress.
 

Who are the staff working for congress and how to recognise them?   

  • Federation has hired 100 students who will mainly work at the registration area and as floor monitors. They will be available to assist delegates in every building and on every floor where we have sessions scheduled. They will wear a burgundy T-shirt with words TEAM CONGRESS on their back. Floor monitors will be equipped with a walkie talkie and will have quick access to their supervisor in case of emergencies.
  • Concordia also will have the assistance of 100 volunteers. They will be dispatched to different locations outside and inside the building to assist delegates and to answer questions. They will wear a blue T-Shirt with the word &UESTION ? on their back. IITS will have a team of technicians that will be available on each floor where there are sessions. They will be available to answer any question related to AV problems. They will wear a gold yellow T-Shirt with words AV TECHNICIANS on their back. This team will also have walkie talkies for quick access to their supervisor.
  • Sustainability will have a team of 30 volunteers that will circulate throughout campus to provide information on recycling and composting to all delegates. They will wear a T-Shirt with the words SUSTAINABILITY PATROL on their back.
  • Chartwells will have a team of people working in every building to serve coffee breaks, lunch, cocktails, etc.
  • All the coordinators of Hospitality Concordia are involved in Congress and will assist the association with all specials events such as poster boards sessions, general assemblies and receptions.
 

How will delegates find their way on campus?

  • Campus map: a map has been developed with a color code for the buildings. The same color will be used in the building to identify key areas:
    • Door signage: each door of the building will have a sign with the color of the building. and the name of the building.
    • Roll-up banner: in the Metro level and atrium level of each building we will have a colour banner with the name of the building and a list of the major spaces or events happening in the building.
    • Floor map: on each floor we will have a floor map, with the color of the building, that will indicate :
      • rooms where we have sessions
      • water fountains
      • stairs and elevators
      • washrooms
    • Directional signage: on each floor we will have directional signage to help delegates find their rooms
  • Volunteers will be stationed outside our buildings
  • Floor ambassadors will be available on every floor
 

What are the major locations of Congress?

  • Registration Area: LB Atrium (in the Birks Student Service Centre area). All delegates will have to register upon arrival and will receive a name badge, a bag and the Delegates Guide Book.
  • Delegates Services Area: LB Atrium (in the Welcome Centre area). In this location delegates will find information about :
    • Services on and around campus
    • Association programs and the location of their association's table (if applicable)
    • The location of their association's meetings
    • Information about accommodations and local transportation options
    • Advice on accessibility services
    • Environmentally sustainable practices for Congress
  • Book Fair
    • EV - Atrium & Metro Level
    • MB - Atrium & Metro Level
    • LB - Atrium
  • Information Kiosks where delegate will find general information about Congress, the Branché events and tourist information

What are the major events at Congress? 

  • Human Rights Day: President Conference Series presented in DB Clarke and open to the public
  • Big Thinking: Series of conference from 12:00 to 13:20 , open to the public, presented in DB Clarke Theatre and De Sève Cinema in LB
  • Open Access: Two events presented in De Sève.
