Scope

Reporting to the Director, Graduate Admissions and Student Affairs, the incumbent performs a range of tasks in support of the Director, Graduate Admissions and Student Affairs and the overall operation of the Graduate Admissions, Student Affairs, Thesis and Postdoctoral Studies portfolio. He/she is responsible, where required, for functional liaison and follow-up with a number of University areas and certain stakeholder departments, as well as, external private and governmental awards agencies, on the routine operation of postdoctoral studies and special awards programs. The incumbent is also responsible for applying the university’s postdoctoral policy, monitoring their experience on campus, ensuring their remuneration as per internal guidelines, and offering workshops and networking opportunities; compiling and analyzing data related to graduate student enrolment, including but not limited to retention and graduation rates, and for producing related reports.

Primary responsibilities

  • Verify candidate eligibility and oversee production of postdoc payment requisitions. Ensure that all pertinent documents are collected for all University Postdoctoral Fellows.
  • Ensure university-wide compliance with the University’s Postdoctoral Policy and Guidelines.
  • Manage nomination and selection process for all postdoctoral awards, including the Banting competition. Administer specific awards and prizes, and the postdoctoral portfolio.
  • Manage nomination and selection process for all dissertation and “special” prizes (GGGM, Doctoral Dissertation prize, CAGS dissertation prize etc).
  • Oversee effective maintenance and organization of local and electronic special award and postdoc files, maintain local special awards and postdoc databases and ensure data accuracy and update SIS/SIMS as necessary.
  • Convene regular meetings of the Postdoctoral population.
  • Gather statistics as required by the Director and prepare reports as required.
  • Coordinate all web content for the unit.
  • Conduct workshops related to the functions of the unit, including postdoctoral studies and special competitions.

Requirements

  • Bachelor’s degree in a field related to the primary responsibilities and two to four years of related work experience. Experience in an academic setting and in customer service an asset.
  • Experience in working with relational databases highly desirable.
  • Good knowledge of spoken and written English (Level 4) in order to communicate effectively with faculty, staff, and students and to draft correspondence, documentation, and reports. Knowledge of spoken French (Level 3) in order to provide information, respond to routine queries and to interact with provincial agencies.
  • Very good knowledge (Advanced level) of Excel and Access (to develop databases, work with spreadsheets, update files, and export data).
  • Ability to pay close attention to detail is required for data integrity.
  • Outstanding interpersonal and communication skills as well as the ability to work in a team environment, and with other University departments and external agencies.
  • Superior organizational skills in order to effectively organize work and set work priorities under pressure of time constraints.
  • Ability to multi-task and to work under pressure with minimal supervision.

Salary

$57,922.98 - $69,223.33 per annum
