Scope
Reporting to the Manager, Application and Documentation Processing, the incumbent performs various clerical functions which support the application and documentation process.
Primary responsibilities
- Code and enter data from the application form into the Student Information Management System (SIMS) database.
- Code and barcode receipt of student file documents into SIMS.
- Classify documents by type as well as determine if they are considered official or unofficial.
- Provide central file room services, including filing, file control retrieval of files, and rotation of scanned batches.
- Investigate and correct anomalies and errors in applicant files, match unlinked documents and rebuild files.
- Batch documents and ensure that they are sorted appropriately in preparation for scanning; scan and index documents in SIMS.
- Provide general clerical support including distribution of mail; perform other duties in support of the operation of the unit.
Requirements
- Diploma of Collegial Studies (2 year pre-university program) and one to two years of office experience.
- Basic spoken and written English (Level 3) in order to be able to understand the content and context of a document, to give and follow instructions, and to fill in forms where brief written descriptions and comments are required.
- Basic knowledge of Word (to create and update documents).
- Demonstrated experience entering data into a database rapidly and accurately.
- Ability to cope in a high volume environment and meet established deadlines.
- Keen attention to details.
- Ability to multitask and work under pressure with frequent interruptions.
- Good organizational and team skills.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
Salary
$18.01 – $21.42 per hour (Pay equity adjusted salary rate)
