Scope

Reporting to the Director, Health Services, the incumbent manages the daily administration of Health Services to facilitate access to a varied clientele on both campuses. He/she supports departmental objectives by being responsible for budget management as well as the administrative functions relating to human resource matters.

Primary responsibilities

  • Manage the day-to-day administrative operations of Health Services; provide administrative support to the Director and Manager, Clinical Services; coordinate, monitor and support departmental activities and projects.
  • Hire, train, schedule, assign work, monitor, evaluate, and motivate unit personnel.
  • Maintain departmental budget and liaise with Financial Services to ensure account reconciliation; approve discretionary expenses and casual staff payroll; prepare budget forecasts and assist with budget preparation as required.
  • Manage and maintain the medical database and scheduling software and hardware; train staff on software.
  • Research and prepare reports and respond to general inquiries on behalf of the Director; coordinate and monitor activities and projects.
  • Participate and/or assist in internal and external committees.
  • Perform other duties in support of the operation of the unit.

Requirements

  • Diploma of Collegial Studies (3-year administration program) and four to seven years related work experience in a medical and/or office setting.
  • Good spoken and written English (Level 4) in order to communicate effectively with patients and to draft correspondence, documentation and reports. Basic spoken and written French (Level 3) to respond to general inquiries and to provide information.
  • Intermediate knowledge of Word and Excel (to create and update spreadsheets and documents).
  • General knowledge of accounting policies and procedures.
  • Excellent interpersonal and communication skills with the ability to deal sensitively with individuals.
  • Excellent organizational skills in order to effectively organize work and set work priorities under time constraints.
  • Sensitivity to patients’ needs.
  • Ability to take and transcribe minutes.
  • Aptitude to work in a service-oriented environment both as a member of a team and independently.

Salary

$55,239.93 – $64,093.36 per annum
