Scope

Reporting to the Manager and works under the supervision of the Supervisor, the incumbent is responsible for administering the special billing and fee adjustment requirements for Graduate programs, the tuition (tax) receipt process and the tuition waiver reporting processes, and performing specific general accounting tasks.

Primary responsibilities

  • Assess fees and fee adjustments for Graduate student accounts. Process applicable retroactive and current adjustments to these accounts.
  • Balance and reconcile the daily Continuing Education registration and billing files that are batch loaded to the A/R System (SIMS). Identify and correct errors or problems that may have occurred with the batch upload. Report errors, possible misunderstanding or misinterpretation of policies or procedures related to that process to the Supervisor, Student Accounts Office and the Assistant Director, Continuing Education.
  • Administer and reconcile the weekly Payroll Deduction files that are batch loaded to the A/R System (SIS). Identify and correct errors or problems that may have occurred with the batch upload. Report errors, possible misunderstanding or misinterpretation of policies or procedures related to that process to the Assistant Manager and the Manager, Payroll.
  • Reconcile the Continuing Education deferred revenue and Payroll Deductions clearing accounts.
  • Provide front-line service to students by advising and directing them to the appropriate service department; provide information and services related to students’ accounts by answering account inquiries; research and verify account and banking transactions and student account balances; establish (negotiate) acceptable payment agreements (within published deadlines) with students who have medium to large delinquent accounts; prepare and sign the legal Special Payment Agreement contract.
  • Provide front-line University Cashier service to the community by disbursing Financial Aid emergency advances; reimburse petty cash expenses, replenish petty cash floats, etc.

Requirements

  • Attestation of College Studies (ACS) in Accounting, Commerce or in a related field pertinent to the primary responsibilities, and two to four years of relevant work experience in processing financial transactions, with at least one year of experience performing accounting functions. Experience working with the public highly desirable.
  • Good spoken English and French (Level 4) in order to give detailed information and explanations. Good written English (Level 4) in order to write correspondence or other texts in which detailed facts and reasons must be presented. Basic written French (Level 3) in order to write routine reports.
  • Knowledge (Basic level) of Word (to write letters, format reports and input tables into documents) and good knowledge (Intermediate level) of Excel (to do mathematical and financial calculations).
  • Knowledge of on-line and web-based systems such as Student Information System, Student Information Management System, Financial Information System (Banner) is essential.
  • Strong numerical and analytical skills; accuracy and attention to detail.
  • Excellent interpersonal, communication and problem-solving skills; customer-service orientation.

Salary

$20.58 - $24.48 per hour (Pay Equity adjusted salary rate)
