Scope

Reporting to the Manager, International Students Office, the incumbent is responsible for the smooth running of the day-to-day operations of the International Students Office (ISO). He/she provides administrative support to the Manager and the office.

Primary responsibilities

  • Coordinate the day-to-day administrative operations of the ISO and act as a liaison with other departments, student associations and external partners.
  • Provide administrative support to the Manager and the office. Maintain the Health Insurance data base and produce reports. Prepare statistics and reports as required. Support the Emergency Loan portfolio including keeping track and following up on outstanding loans.
  • Coordinate, maintain and/or compose the content of various publications including the ISO Website and Bulletin.
  • Respond to inquiries on behalf of the Manager of the ISO.
  • Train and supervise student workers and casual staff and coordinate their work schedules. Recruit, train and provide ongoing supervision to ISO volunteers and oversee the budget for the Volunteer Program.
  • Coordinate social events, receptions and workshops for international students.
  • Provide information, assistance, and referral to current and potential international students. Assist in case analysis as required by the Manager.
  • Perform other duties in support of the operation of the unit.

Requirements

  • Diploma of Collegial Studies (2- year program) and four to seven years of related work experience.
  • Good spoken and written English (Level 4) in order to communicate effectively with students, staff and faculty and to draft correspondence, documentation and reports; basic spoken and written French (Level 3) in order to respond to general inquiries both in person and in writing.
  • Advanced knowledge of Word (to prepare and update elaborate documents); intermediate knowledge of Excel and PowerPoint (to prepare and update spreadsheets and presentations); basic knowledge of Access (to input information into databases).
  • Knowledge of HTML Coding for website.
  • Knowledge of Adobe Creative Suite (Photoshop/Illustrator).
  • Excellent interpersonal and communication skills with the ability to deal sensitively with individuals.
  • Excellent organizational skills in order to effectively organize work and set work priorities under time constraints.
  • Ability to multi-task to meet departmental objectives under limited supervision.
  • Sensitivity to international students’ concerns.
  • Keen attention to details.
  • Aptitude to work in a service-oriented environment as both a member of a team and independently.
  • Ability to work outside normal operating hours for special events.

Salary

$23.54 - $28.35 per hour
