Scope
Reporting to the Undergraduate and Graduate Service Team Supervisor, the incumbent maintains graduate student records and performs the assessment and follow-up of graduation applications. He/she also coordinates the daily activities of the Graduate Studies Service Team Assistants.
Primary responsibilities
- Coordinate and monitor the activities of the Graduate Service Team Assistants to ensure assigned tasks are carried out; provide the training of new staff as required; provide and update graduate information for Summer Schedule.
- Evaluate graduation applications and determine whether the applicant has satisfied all requirements including non-course component requirements to obtain a certificate, diploma or degree.
- Interpret and validate decisions on internal documents from Various sources; update the graduate student record using the Student Information Management System (SIMS) and correct errors that are identified, including admission-based data; adapt work techniques to accommodate policy changes; ensure that the degree audit system is maintained and updated.
- Respond to requests and resolve issues for graduate students, School of Graduate Studies, faculty, staff and external institutions; refer students to appropriate source as required.
- Verify that supporting documents required for a student’s file are obtained and are readily retrievable.
- Build graduate Independent, INTU, Visiting and Exchange student programs, correct and adjust deferred admission requests, process registration and transfer credits.
- Perform queries for departmental requests using the Special Request System.
- Assist departments with online graduate registration.
- Perform other duties in support of the operation of the unit.
Requirements
- Diploma of Collegial Studies (Two year DEC) and two to four years of related work experience.
- Good spoken and written English (Level 4) in order to communicate effectively with students, staff and faculty, and basic spoken French (level 3) to answer general inquiries.
- Basic knowledge of Word (to create and update documents).
- Excellent interpersonal and communication skills with the ability to deal firmly but politely with students and other concerned parties.
- Excellent organizational skills with the ability to prioritize and work under pressure with frequent interruptions.
- Keen attention to details.
- Ability to coordinate a small working group with minimal supervision.
- Excellent analytical and problem-solving skills in order to support and participate in the implementation of projects from conception to completion.
- Sensitivity to students’ concerns.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
Salary
$25.74 - $30.99 per hour (Pay equity adjusted salary rate)
