BOOKING COORDINATOR, CINEMAS (P4892)

Scope

Reporting to the Manager, User Services- Cinemas, the incumbent is responsible for the coordination of all aspects of operation of the university’s professional cinemas, and acts as a consultant to faculty, students and external clients.

Primary responsibilities

  • Provide direction and act as a resource person in coordinating media-related events for both internal and external clients.
  • Manage bookings for the University and external community; assess and translate cinema booking requests to include specific technical requirements; handle the logistics of media distribution, equipment rental, lighting, and audio support; liaise with internal departments in order to achieve a successful outcome.
  • Anticipate and prevent potential problems and resolve issues which may arise; intervene and/or negotiate on behalf of Concordia or Concordia’s clients with external suppliers, media distributers, press agents, and copyright security agents among other services.
  • Functional supervision of permanent and casual staff on all non-technical matters related to bookings; evaluate level of proficiency of part-time staff based on performance and client feedback and provide effective scheduling of staff for all non-academic events.
  • Prepare booking confirmations and lease agreements (e.g. logistical details, event set-ups, payment process, insurance, personnel, facilities and service fees)
  • Ensure that all University policies and procedures are followed and confirm issuance of certificate of liability insurance.
  • Compile and maintain department data and prepare reports and analysis.
  • Represent Concordia University in a courteous and professional manner, providing potential external clients with a warm welcome and encouraging their participation in the Concordia community.
  • Take on projects as assigned and prioritized by the Manager, IITS Cinemas.
  • Perform other duties in support of the unit.

Requirements

  • Diploma of Collegial Studies (Three-year DEC) in Film Studies, Film Production or in a field related to the primary responsibilities of the position, and four to seven years of related work experience.
  • Training in provincial regulations governing the issuance of food and alcohol permits.
  • Film and/or video exhibition experience.
  • Good spoken and written English (level 4) in order to communicate effectively with internal and external clients and (level 3) spoken French to respond to general inquiries and to provide information.
  • Knowledge of 35 mm and 16 mm film exhibition technology.
  • Knowledge of video exhibition technology, including current digital and DCP video and audio formats as well as analogue formats for both video and audio. This technical knowledge is required in order to ascertain the equipment needs (including rental), set-up and testing requirements, and coordination of media delivery, as well as to accurately approximate labour costs for invoice estimates.
  • Intermediate knowledge of Word and Excel (to create, maintain and update documents, templates, and spreadsheets; ability to use formulas in Excel).
  • Excellent interpersonal and organizational skills.
  • Occasional overtime/weekend work required during peak usage times and critical events.

Salary

$25.43 -$30.64 per hour
