Scope
Reporting to the Department Administrator and functionally to the Graduate Program Directors, the incumbent is responsible for the effective and efficient coordination and administration of the graduate programs within the department of Education by proving assistance to all Graduate Program Directors, Faculty members, and staff. She/he is also responsible for guiding students from registration to graduation.
Primary responsibilities
- Coordinate, with Program Directors, all administrative functions, for all graduate programs (Masters and PhD)
- Provide assistance to the Graduate Program Directors, professors and students in the Masters and PhD programs including maintaining day to day operations of the programs and special projects to advance the quality of operations as well as promote the objectives of the program.
- Advise graduate students on all matters pertaining to their programs (i.e. admissions, registration, courses, academic regulations, deadlines, etc…).
- Recommend to the Graduate Program Directors appropriate course of action to respond to student needs and/or problems.
- Represent the programs to potential as well as current students.
- Coordinate the admissions and awards process and procedures (including evaluation of students’ files with regard to advanced standing credits, prerequisites, deficiencies, special programs requirements, etc.)
- Provide coaching to other members of the graduate team, including providing information and direction for the efficient handling of various tasks as well as providing training to graduate team replacements as required.
Requirements
- Diploma of Collegial Studies (two-year DEC) and four to seven years of related work experience, including front-line service experience.
- Good knowledge of spoken and written English (Level 4) in order to communicate with students and faculty, give and interpret detailed information/explanations and to write correspondence; basic knowledge of spoken French (Level 3) in order to provide general information and respond to inquiries.
- Good knowledge (intermediate level) of Word and Excel, to create, update and maintain documents and spreadsheets.
- Advanced knowledge of graduate faculty curriculum, policies and procedures; knowledge of registration processes; in depth knowledge of Arts and Science Graduate Program procedures an asset.
- Knowledge of University SIMS and FCMS desirable.
- Ability to work in a service-oriented environment as a coach, team member, as well as independently.
- Good organizational skills and ability to multitask and follow priorities while maintaining flexibility; keen attention to detail.
- Proven ability to work effectively with students, staff, faculty and the general public.
- Capacity to work under pressure in a high volume area; ability to meet strict deadline.
- Excellent interpersonal and communication skills with the ability to deal with issues.
Salary
$25.43 - $30.64 per hour
