Scope

Reporting to the Dean, Faculty of Arts and Science, the incumbent oversees and manages the daily operation of the Dean’s offices in the Faculty of Arts and Science, including associate deans’ and directors’ offices.

Primary responsibilities

  • Oversee and manage the daily operation of the Dean’s offices, including associate deans’ and directors’ offices.
  • Manage, on behalf of the Dean, the support staff complement of the Faculty, including the Dean’s offices and the academic units reporting to the Dean. Ensure that all support staff requests are handled in accordance with Faculty and University policies.
  • Hire, train, assign work, monitor, evaluate and motivate unit personnel
  • Monitor the Dean’s office’s operating budget including the Faculty’s communication budget.
  • Serve as Secretary to the Arts and Science Faculty Council which oversees and mandates all academic matters in the Faculty; ensure that elections are held for all committees reporting to Council as well as other university bodies such as Senate and its sub-committees, the School of Extended Learning and the School of Graduate Studies. Communicate decisions of Council to the Provost, Senate and other offices as appropriate.
  • Assist the Dean and his advisory group with special projects such as operational plans, strategic plans, staffing plans, etc.

Requirements

  • Bachelor’s degree in a relevant field and four to seven years of relevant work experience; at least three years of supervisory and/or managerial experience in a university environment.
  • Very good spoken and written English (Level 5) to initiate policies procedures, protocols, write plans and correspondence on behalf of the Dean as well as communicate with other Faculties and University departments and external clients and partners. Good spoken and ability to read French (Level 4) in order to respond to inquiries from departments, Faculties and external clients and providers. Basic written French (Level 3) to answer general requests.
  • Good knowledge (intermediate level) of Word (to prepare correspondence and various documents) and Excel (to create, modify and format spreadsheets). Knowledge of Millenium and HRIS an asset.
  • Strong planning, organizational and problem-solving skills as well as the ability to set individual and team priorities.
  • Proven ability to work under pressure in a fast-paced environment.
  • Demonstrated strength in communication and interpersonal skills, with the ability to work independently as well as lead a team and demonstrated success in developing relationships with other members of the Faculty and University.
  • Strong knowledge of support staff collective agreements.

Salary

$78,613.38 - $86,857.40 - $91,214.66 per annum
