Scope

Reporting to the General Counsel and functionally to the Legal Counsel, Student and Administrative Affairs, the incumbent has a dual role of receiving visitors to the Office of the General Counsel and Student Tribunals while providing logistical and secretarial support primarily to the Officer, Student Tribunal.

Primary responsibilities

  • Receive visitors and escort them to the appropriate person.
  • Send, receive and distribute mail, faxes and accept special deliveries, courier service, packages and make deliveries as required.
  • Respond to telephone and in-person enquiries
  • Provide logistical, administrative, and secretarial support to the Officer, Student Tribunals as well as the Panelists in the administration, scheduling, planning of all student hearings and appeals and the preparation and distribution of all hearing and appeals documentation.
  • Provide logistical and secretarial support to the legal counsels as required.
  • Maintain Code of Conduct (Academic) database as well as all other data associated with the student tribunal and the administration of the OGC.
  • Assist Department Assistant in the maintenance of stationary, equipment and office supplies.
  • Other duties as assigned by the General Counsel.

Requirements

  • Attestation of Collegial Studies (ACS) in a field pertinent to the primary responsibilities and two to four years of relevant experience.
  • Very good spoken written English (Level 5) and good spoken and written French (Level 4) in order to provide and interpret detailed information, and deal with complex situations in both languages.
  • Ability to work in Windows environment; good knowledge (Intermediate level) of Word (format documents, do mail merges, create macros) and of Excel (create spreadsheets and charts, use mathematical and financial functions); Documentik; basic knowledge of Access, PowerPoint, Outlook, and electronic mail systems.
  • Excellent organizational skills and ability to multitask; ability to work in a team, attention to customer service and possessing a strong attention to detail.
  • Ability to work autonomously and to be discreet when discussing confidential information.

Salary

$18.90 - $22.53 per hour
