Scope
Reporting to the Director, Administrative Services, the incumbent provides front-line customer service to internal and external clientele, and performs various clerical functions in support of the unit.
Primary responsibilities
- Welcome and direct visitors accordingly when they enter the office; respond to general office inquiries (i.e.: conference room reservation, office supplies, mail, courier, receive contract bids, copiers, printers, etc..).
- Responsible for key control function by receiving key request, distributing keys and managing records.
- Provide general office and clerical support, which include, sorting, logging and distributing all incoming and outgoing mail.
- Maintain stationary and office supplies for the department and ensure that office equipment is properly maintained
- Compose, edit and type letters, memos, emails and reports in English and French
- Perform other duties in support of the operation of the unit; assist in organizing and communicating departmental activities (i.e.: meetings, events, announcements).
Requirements
- Attestation of Collegial Studies (ACS) in a field related to the primary responsibilities and two to four years of related work experience.
- Good spoken and written English and French (Level 4) in order to communicate effectively with the internal and external clientele.
- Knowledge (Basic level) of Word and Excel (to respond to routine correspondence and to enter data into a spreadsheet).
- Working knowledge of PowerPoint and a maintenance management information system (i.e.: Maximo) are assets.
- Excellent communication and interpersonal skills.
- Service-oriented with outstanding customer services.
- Organized work habits and self-motivated.
- Ability to work well under pressure within in a fast pace environment and prioritize request and tasks.
Salary
$18.01 - $21.42 per hour (Pay Equity adjusted pay rate)
