Scope

Reporting to the Department Chair, the incumbent ensures the efficient operation of the department including the management of the departmental budget and special contracts. The administrator supervises non-academic personnel, coordinates work of department committees, administrative projects as well as facilitates and schedules of public relations initiatives.

Primary responsibilities

  • Manage and coordinate the daily operation of the Department including planning monitoring and initiating improvements to departmental operational policies and practices.
  • Initiate, establish and implement policies and procedures regarding non-academic staff, including supervising, hiring, training and assigning work.
  • Administer CUFA and CUPFA Collective Agreements by organizing the hiring of part-time and full-time faculty and other academic personnel, curriculum, admissions, registration, orientation and scheduling.
  • Manage the department’s budgets: within budgetary authority, approve or reject requests from faculty, staff and students; prepare budget forecasts and document budget meetings.
  • Maintain liaison with undergraduate and graduate program directors, departmental committees as well as other internal and external departments or organizations.
  • Prepare reports and correspondence on behalf of the Chair

Requirements

  • Bachelor’s degree in a field pertinent to the primary responsibilities and four to seven years of related work experience; with at least two years of supervisory experience.
  • Good knowledge of spoken and written English (Level 4) in order to write and prepare reports, policies and procedures an communicate effectively with students, faculty and staff. Good knowledge of spoken French (Level 4) and basic knowledge of written French (Level 3).
  • Good knowledge (Intermediate level) of Word (to create and edit documents), of Access (to use complex query techniques, create macros and create efficient forms and reports), of PowerPoint (to make interactive presentations) and of Excel (to create and modify spreadsheets and charts). Knowledge of Millenium, FRIS, SIMS and FCMS assets.
  • Strong planning, organizational and problem-solving skills with the ability to set priorities.
  • Proven ability to work under pressure in a fast paced environment.
  • Demonstrated communication and interpersonal skills with the ability to work independently as well as with a team.
  • Ability to take and transcribe minutes.
  • Knowledge of Faculty and staff collective agreements highly desirable.
  • Sensitivity to different cultures.

Salary

$73,136.58 - $80,805.11 - $84,857.60 per annum (Pay equity adjusted salary rate)
