Scope

Reporting to the Vice-President, Research and Graduate Studies, the incumbent provides guidance, advice and leadership to VPRGS and across all units in the VPRSG sector on all administrative matters, as well as other key sector-wide or unit specific priorities. He/she ensures implementation of new initiatives that support the strategic direction of the VPRGS and manages the administrative activities of the VPRGS with multiple reporting areas.

Primary responsibilities

  • Foster and maintain close working relationship and lines of communication with the Associate Vice-Presidents, Dean of Graduate Studies, and Directors of the units in the sector, as well as other members of the internal community, external stakeholders, government agencies, and institutions.
  • Advise/consult VP and senior sector team with respect to sector-wide and unit specific priorities and projects.
  • Represent VPRGS on various committees and working groups examining issues of university-wide relevance.
  • Manage all human resources activities of the VPRGS office and reporting areas. Evaluate and recommend staffing and training needs. Ensure compliance with University personnel policies and procedures.
  • Conduct a thorough organizational review and analysis of the VPRGS and reporting offices to promote a sector-wide culture, maximize administrative services in the sector; confer with administrative leaders, evaluate input from sector offices and make operational recommendations related to human and other resources; monitor, on a continuous basis, internal processes to achieve continued effectiveness.
  • Establish and monitor effective processes related to communications addressed to/received by the VPRGS (i.e. response, signatures, action, follow-up and deadlines). On behalf of the VPRGS, initiate and respond to communication received (both internal/external).
  • Oversee the VPRGS operational and special contingency budgets; monitor budgets of units reporting to the VPRGS by planning, projecting and authorizing appropriate expenditures.
  • Other duties and/or projects as related to the functions of the sector.

Requirements

  • Bachelor’s degree and a minimum of seven years of pertinent work experience with at least three of supervisory and/or managerial experience in a university environment.
  • Thorough knowledge of the University environment including operational, administrative and academic aspects. Knowledge of the Quebec and Canadian higher education and research funding systems is highly desirable.
  • Excellent interpersonal and communication skills, along with proven leadership and team building abilities.
  • Strong planning, organizational and problem-solving skills as well as the ability to set individual and team priorities.
  • Very good spoken and written English (Level 5) and good spoken and written French (Level 4) in order to write and edit correspondence, provide and interpret detailed information, and deal with complex situations in both languages.
  • Basic knowledge of Word (to format correspondence, documents, and reports), Excel (to input and update information on spreadsheets) and PowerPoint (to create presentations).
  • Superior ability to maintain a high degree of professionalism and discretion commensurate with the Office of the VP.
  • Demonstrated ability to facilitate planning processes, direct and manage projects within established deadlines and parameters.
  • Superior negotiation skills.
  • Diligent attention to detail.

Salary

$84,484.45 - $93,383.95 - $98,026.65 per annum
