EXECUTIVE ASSISTANT TO THE SENIOR ADVISOR ON INTERNATIONAL STRATEGY (C1565)

This is a two-year contract, part-time position (21 hours per week).

Scope

Reporting to the Senior Advisor on International Strategy, the incumbent provides administrative, secretarial and logistical support to the Senior Advisor on International Strategy,

Primary responsibilities

  • Manage the agenda of the Senior Advisor on International Strategy, schedule internal and external appointments and meetings; enter relevant information in the agenda and update contacts as required.
  • Maintain a log of the daily correspondence.
  • Draft notices and agendas, gather and assemble documents for distribution, follow up on action items, schedule and arrange for meeting space and catering.
  • Prepare dossiers for the Senior Advisor – including the creation, compilation and analysis of data and information in preparation of external and internal dossiers; maintain “bring-forward and follow-up” systems for proper management of documents; organize and maintain confidential files.
  • Read all agenda-related and external-related emails addressed to the Senior Advisor and identify appropriate course of action (i.e.: respond, process, delegate, or classify).
  • Make all travel arrangement plans, both international and national; prepare travel expense reports and monthly expense reports.
  • Brief the Senior Advisor on issues requiring his immediate attention and follow up as required.

Requirements

  • Diploma of College Studies (3 year technical program) in Office Technology, or in another field pertinent to the major responsibilities, plus two to four years of relevant experience.
  • Good spoken and written English and French spoken (Level 4) in order to provide and interpret detailed information and to write routine correspondence.
  • Ability to work in Windows environment; (Intermediate level) of Word, and Excel. Ability to work with Outlook and the Internet.
  • Excellent organizational skills and ability to multitask and to establish and follow priorities while maintaining flexibility.
  • Very good communication and interpersonal skills; capability to work with top management; discretion with strong sense of confidentiality.
  • Ability to work in a team.
  • Availability to work overtime when required.
