Scope
Reporting to the Associate Dean, Academic and Student Affairs, the incumbent facilitates the preparation of curriculum proposals for the Faculty Curriculum Committee, Faculty of Fine Arts Council, the School of Graduate Studies, the Academic Programs Committee, Senate and the School of Extended Learning. He/she coordinates all matters relating to graduate and undergraduate student affairs.
Primary responsibilities
- Coordinate documentation related to Faculty curriculum proposals and University level committees by verifying that each proposal meets required criteria for approval.
- Coordinate curriculum revisions between departments and liaise with various university bodies such as Faculty of Fine Arts Faculty Council, the Academic Programs Committee (APC), School of Graduate Studies, School of Extended Learning and Senate.
- Provide logistic and organizational support to the Faculty Curriculum Committee meetings and prepare reports as required by Associate Dean regarding curriculum process. Liaise with and coordinate any follow-up on behalf of FCC with departments and/or other university offices.
- Evaluate and analyze complex information found in detailed curriculum proposals in order to draft reports in English and French and executive summaries and make recommendations for each new program and for complex curriculum changes.
- Act as coordinator in developing agenda, establishing and fulfilling meeting requirements and in collaboration with Provincial government and other government bodies related to evaluation of new program proposals or reviews/appraisals of existing programs.
- Coordinate academic appraisal of all academic units in the Faculty of Fine Arts. Advise departments on development and maintenance of files and documents. Determine optimum course of action to facilitate process, ensuring that deadlines and requirements are met. Provide Faculty departments with research support in preparing proposals for new programs and major curriculum revisions.
- Act as recording and administrative Secretary and participate in monthly/bi-monthly meetings.
- Represent the Faculty and liaise with various sequential University Committees involved in the approval process of programs and curriculum. Coordinate and prepare DNE (Did Not Enter) dossiers in collaboration with student affairs, for the university committee. Participate in the meetings, record the outcome, and write the rationale as well follow up on incomplete files.
- Perform other duties as required.
Requirements
- Bachelor’s degree in a field related to the primary responsibilities and two to four years of relevant experience, preferably in a university or comparable institution.
- Very good knowledge of spoken and written English (Level 5) in order to read and write fluently; good knowledge of spoken and written French (Level 4) in order to communicate with government offices, give and understand descriptions that may involve complicated details and support opinions.
- Advanced knowledge of Word and Intermediate knowledge of Excel and PowerPoint.
- Excellent organizational skills.
- Excellent reviewing and editing skills; meticulous attention to detail.
- Ability to work under pressure to meet deadlines; ability to multi-task and work on a variety of projects concurrently. Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
Salary
$57,922.98 - $69,223.33 per annum
