Scope
Reporting to the Associate Registrar, the incumbent manages the Undergraduate and Graduate Service Teams who are responsible for maintaining undergraduate and graduate student records, as well as performing the assessment and follow-up of graduation applications.
Primary responsibilities
- Manage processing priorities of the unit with respect to data control and graduation assessment; ensure proper training is provided by the Senior Service Team Assistants.
- Train, supervise, schedule, assign work, monitor, evaluate, and motivate unit personnel.
- Ensure quality control over established processes and data maintenance (student records) and ensure that work processes are adapted to comply with policy and regulation changes.
- Liaise with faculty and academic departments as well as internal and external contacts.
- Monitor system problems and liaise with IITS to address problems as they arise.
- Compile and interpret statistical information to prepare reports and recommendations.
- Evaluate incoming (undergraduate and/or graduate) graduation applications and determine whether the applicant has satisfied all requirements to obtain a certificate or degree; compute the graduation Grade Point Average and select potential candidates for graduation awards. Populate and maintain the graduation database and degree audit system.
- Perform other duties in support of the operation of the unit.
Requirements
- Diploma of College Studies (3 year technical DEC) and four to seven years of related work experience, of which at least one year in a supervisory role.
- Good spoken and written English (Level 4) in order to communicate effectively with students, staff and faculty; basic spoken and written French (level 3) to answer to general inquiries and requests.
- Intermediate knowledge of Word and Excel (to work with documents and spreadsheets); proficiency with Student Information Systems.
- Knowledge of Concordia University academic rules and regulations and graduation assessment processes.
- Excellent interpersonal and communication skills with the ability to deal firmly but politely with students and other concerned parties.
- Excellent organizational, decision-making and problem-solving skills with the ability to multitask and work under pressure with frequent interruptions.
- Keen attention to details; sensitivity to students’ concerns.
- Excellent analytical and problem solving skills in order to support and participate in the implementation of projects from conception to completion.
- Ability to lead a team, coordinate/supervise a work group with minimal supervision and foster a positive team environment.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
- Ability to work extended hours during peak periods as required.

$61,012.66 –$67,409.75 –$ 70,791.06 per annum
