Scope

Reporting to the Department Administrator, and functionally to the Graduate Program Director, the incumbent is responsible for guiding students from registration to graduation. He or she coordinates, develops, implements, and processes all matters relating to graduate programs.

Primary responsibilities

  • Support recruitment and retention activities by providing information and assistance regarding graduate programs to students and faculty.
  • Monitor students from admission to graduation; assess students; profiles for academic standing; prepare progress reports; ascertain that students have met all criteria for graduation.
  • Prepare and create documents, forms, correspondence and reports pertaining to graduate programs; maintain graduate student files and databases; maintain departmental graduate web-page up-to date.
  • Process and troubleshoot graduate student bursaries and research assistantship contracts.
  • Process student requests including transfers, deferrals, withdrawals and time limit extensions.
  • Coordinate, organize and schedule thesis path: comprehensive examinations, thesis proposals, thesis defenses, final thesis submissions, grade report submissions.
  • Register students in all graduate programs. Ensure that program requirements are met. Inform students on course selection, program requirements and academic procedures.
  • Work closely with Graduate Program Director (GPD) to establish and improve program guidelines and procedures. Keep GPD aware of potential problems.
  • Keep students informed of all ENCS and SGS disseminated graduate awards details, compile students’ applications, prepare reports and assist Graduate Program Director in the ranking process.
  • Member of the Graduate Studies Committee. Set agenda, organize meetings, take and distribute minutes, initiate agenda items and follow up to ensure implementation.
  • Assist with the preparation of curriculum documentation for the University calendars.
  • Perform other duties as required.

Requirements

  • Diploma of College Studies (two-year DEC) and two to four years of related work experience, including front line service experience.
  • Good spoken and written English (Level 4) in order to communicate with students and faculty, give and interpret detailed information/explanations and to write correspondence. Basic spoken French (Level 3) in order to provide general information and to respond to in-person and telephone queries.
  • Advanced knowledge of word processing (Word) and advanced knowledge of spreadsheets (Excel), to create, update and maintain documents and spreadsheets.
  • Advanced knowledge of faculty curriculum, policies and procedures; knowledge of registration processes.
  • Ability to work in a service-oriented environment as both a team member and independently.
  • Good organizational skills and ability to multitask and follow priorities while maintaining flexibility.
  • Proven ability to work effectively with students, staff, faculty and general public.
  • Capable of working under pressure in a high volume area.
  • Ability to meet strict deadlines; keen attention to detail.
  • Excellent interpersonal and communication skills with the ability to deal sensitively with individuals.

Salary

$23.54 – $28.35 per hour
