Scope
Reporting to the Enrolment Services Events Coordinator, the incumbent assists in the coordination, organization and conduct of all events organized by Enrolment Services.
Primary responsibilities
- Respond to inquiries pertaining to convocation and other events being coordinated through Enrolment Services and make arrangements for special requests.
- Provide administrative support to the Enrolment Services Events Coordinator. Assist with the logistics of various events, make arrangements for the shipping of materials and participate in events when required.
- Maintain and create documents used for the planning and execution of events in Enrolment Services.
- Produce diplomas for all graduates; provide replacement diplomas and university greetings.
- Prepare submissions for non-academic medal winners to the Special Graduation Awards Committee. Correspond with prize winners as required.
- Supervise casual staff hired to assist with the production of diplomas at peak periods.
- Perform reception duties when required and other duties in support of the operations of the unit.
Requirements
- Diploma of Collegial Students and one to two years of related work experience.
- Good spoken and written English (Level 4) in order to communicate effectively with students, staff, and faculty; basic spoken French (Level 3) to respond to general questions and provide basic information.
- Basic knowledge of Word and Excel (to create documents and spreadsheets).
- Excellent interpersonal and communication skills with the ability to deal firmly but politely with students and other concerned parties.
- Ability to multitask and work under pressure with frequent interruptions.
- Keen attention to details.
- Sensitivity to the concerns of students & their families, staff and guests of the University.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
- Ability to work outside normal operating hours.
Salary
$20.53 – 24.48 per hour (Pay equity adjusted salary rate)
