Scope
Reporting to the Associate Dean, Faculty Affairs for the Faculty of Arts and Science, the incumbent serves as a resource person for the Dean’s Office, for academic departments, for faculty members, for the Office of the Provost, and for the Faculty Personnel and Tenure Committee. He/she liaises with academic departments and with the Office of the Provost.
Primary responsibilities
- Implement the CUFA and CUPFA collective agreements by ensuring compliance with the Faculty commitments and legal obligations as spelled out in the agreements.
- On behalf of the Office of the Dean, compose correspondence pertaining to the CUFA collective agreement, including correspondence on sabbaticals, deferrals, contract renewals, promotions, tenure, and other related matters.
- Arrange Faculty Personnel and Tenure Committee meetings, gather and assemble documents for distribution to members, and follow up on actions arising from meetings. Prepare recommendations on behalf of the Committee and of the Dean.
- Keep the Associate Dean apprised of matters pertaining to the faculty affairs portfolio.
- Oversee the preparation of all documentation relating to full-time and part-time faculty personnel, including Notices of Change, Leaves and Remissions, and the issuing of contracts as per the CUPFA collective agreement.
- Oversee all aspects of full-time faculty matters – deadlines for collective agreements, forms for Human Resources, sabbatical and other leaves, reduced-time appointments, contract renewals, tenure and promotion exercises, retirements and resignations, and others.
- Respond to questions from the Provost’s Office, and academic departments.
- Prepare grievance responses for the Dean and department chairs in consultation with legal counsel and the Office of the Provost, and prepare grievance dossiers for the Dean, the Provost, and the Associate Dean.
- Anticipate critical path events as they relate to the Faculty, identify potential departments and individuals involved, and communicate the optimum procedures while ensuring conformity with the collective agreements.
- Supervise staff.
Requirements
- Bachelor’s degree in Industrial Relations, Human Resources, or a field pertinent to the primary responsibilities and two to four years of relevant experience, including at least two years in human resources or industrial relations.
- Certification by “Ordre des conseillers et conseillères en ressources humaines et en relations industrielles agréés du Québec” an asset.
- Good knowledge of spoken and written English (Level 4) to draft short reports and to give detailed and complex explanations; basic knowledge of spoken and written French (Level 3) to respond to work-related questions and to prepare short letters providing factual information.
- Knowledge of or experience in applying collective agreements and responding to grievances.
- Knowledge of or experience with University policies and procedures.
- Good knowledge (Intermediate level) of Word (to format letters, lists, contracts, and do mail merges), of Excel (to do mathematical and financial calculations), and of Access (to join tables and run queries). Experience using Outlook and conducting Internet searches.
- Discretion, accuracy, attention to details, and good judgment.
- Ability to work under pressure and meet deadlines; availability to work irregular hours if required.
- Ability to work under minimal supervision and as part of a team.
Salary
$61,314.70 - $67,743.46 - $71,141.51 per annum
