Scope
Reporting to the Assistant Director, Centre for Continuing Education, the incumbent will provide front line services to current and prospective students, staff, faculty and individuals external to Concordia University regarding academic and administrative matters relating to the Business Administration Department. He/she also ensures the daily requirements of the Department are met including creation and maintenance of student, course, instructor and department records, assistance and registration of students, evaluation of student program requirements, and preparation of student, instructor and department correspondence.
Primary responsibilities
- Ensure that the daily administrative requirements of the unit are met: liaise with students and instructors to alleviate any problems.
- Respond to all telephone, in-person and e-mail inquiries received; assist current and potential students with part-time course and full-time program requirements, application/registration procedures, immigration policies, regulations and procedures, medical insurance, tuition fees, accommodations and refund policies; register students, collect fees and prepare letters of acceptance for international students; assist students with immigration, health, cultural and financial problems.
- Input, modify and maintain course/section, instructor, and student information; prepare class lists, grade sheets, course posting documents, instructor seniority and probation lists, teaching contracts, and other Instructor/Union reports.
- Verify that students have satisfied program requirements and prepare certificates and/or diploma for signature and distribution.
- Prepare correspondence and student requested documents, including letters of attestation, official and unofficial transcripts and the like.
- Assist other departments in the registration of students.
- Perform other duties as required in support of the operation of the unit and undertake other responsibilities as required by the Assistant Director.
Requirements
- Attestation of College Studies (ACS) in a relevant field and two to four years of related work experience; experience working in a university environment is a definite asset.
- Good spoken and written English (Level 4) to communicate with students and faculty and to draft correspondence and produce letters. Basic spoken French (Level 3) to be able to respond to both in-person and telephone requests for information.
- Intermediate knowledge of Word and Excel to create and format documents and spreadsheets.
- Knowledge of electronic mail systems and very good data entry skills are a requirement. Knowledge of the SIS and web-based applications are definite assets.
- Superior organizational skills and the ability to multitask; ability to work both independently and in a team.
- Superior communication and interpersonal skills; sensitivity to diverse cultures and the ability to work under pressure and to meet deadlines are definite assets.
- Availability to work extended hours throughout the year.
Salary
$20.58 - $24.48 per hour (Pay equity adjusted salary rate)
