Scope

Reporting to the Director Administration& Training Services, the incumbent ensures that departmental databases relating to commitments and expenses are correct and up to date. The incumbent also serves as documents coordinator responsible for processing, scanning and filing.

Primary responsibilities

  • Inform, receive, review and process expenditures related to the department.
  • Maintain detailed records of all expenditures and commitments and prepare a weekly statistical report for the Associate Vice-President.
  • Oversee the collection and handling of administrative documentation for purchases, timesheets, invoices, as well as office and laboratory supplies;coordinate with Loyola Administrative staff, to ensure IITS documentation is processed in a timely manner.
  • Act as the resource person for document preparation and data entry .
  • Draft correspondence for the Associate Vice-President; Respond to queries and liaise with customers on behalf of the Associate Vice-President, in the Administrative Coordinator’s absence,
  • Fill in for Reception/Switchboard Services when required.

Requirements

  • Attestation of College Studies (ACS) in Office Technology or Business Administration and one to two years of office experience in a related setting.
  • Highly organized, with ability to multitask and the ability to handle a high volume of inquiries and requests.
  • Number-oriented, with ability to analyze information succinctly and accurately.
  • Good spoken and written English (Level 4) to communicate effectively and to draft correspondence and documentations. Basic spoken French (Level 3) to respond to routine queries.
  • Intermediate knowledge of MS Word and Excel (to create and edit documents and to create, maintain and update spreadsheets).
  • Excellent interpersonal, organizational, and communication skills.

Salary

$20.58– $24.48 per hour
