Scope
Reporting to the Department Administrator, the incumbent provides front-line receptionist functions, responding to routine telephone and in-person enquiries, and directing callers and visitors to the appropriate individual or office.
Primary responsibilities
- Perform secretarial duties for part-time and full-time faculty.
- Order textbooks, format exams and course outlines.
- Make appointments for students with Undergraduate Program Academic Advisors.
- Create and maintain student files.
- Assist the Undergraduate Program Assistant with day-to-day administration of the program.
- Replace the Undergraduate Program Assistant during her absence.
- Sort and distribute mail for graduate students, staff, part-time, and full-time faculty.
- Maintain up-to-date lists for the Department.
- Maintain coffee machine, order supplies, place service calls, provide bookkeeping services and make deposits.
- Maintain inventory of office and printing supplies; place service calls for office equipment as required.
- Assist the Departmental Administrator
Requirements
- Attestation of College Studies (ACS) in a field pertinent to the primary responsibilities and two to four years of relevant work experience.
- Good spoken English (Level 4) and basic spoken French (Level 3) in order to give information, explanations or instructions, and to handle telephone and in-person requests for routine information. Basic written English (Level 3) in order to write routine correspondence.
- Experience with the Student Information Management System (SIMS) and Concordia University Portal Services an asset.
- Familiarity with undergraduate policies and procedures an asset.
- Basic knowledge of Word (to create and format documents) and of Excel (to create and update spreadsheets).
- Excellent interpersonal, organizational, and communication skills
- Strong ability to multitask.
- Strong customer focus.
Salary
$20.53 – $24.48 per hour (pay equity adjusted salary rate)
